About the Role- We are seeking a highly organized, detail-oriented Administrative Assistant to support multiple Trust Advisors. This role is ideal for someone who is compassionate, professional, and thrives in a mission-driven environment.

Because the work involves communication with courts, attorneys, banks, and oversight of sensitive documentation, we strongly encourage individuals with legal administrative experience or exposure to legal processes to apply.

You will work closely with beneficiaries and their families, service providers, financial institutions, and internal teams to help ensure that each beneficiary's needs are met with accuracy, care, and professionalism.

Key Responsibilities

  • Gain a thorough understanding of the company's culture, mission, and philosophy to effectively support trust services.
  • Provide day-to-day operational and administrative support to Trust Advisors, including written and verbal communication and document processing.
  • Act as a liaison between beneficiaries/their families and internal or external resources (banks, courts, attorneys, community services).
  • Log all activities (meetings, calls, emails, documents, etc.) into LEAP record-keeping software.
  • Support clients and families by identifying resources and coordinating services-not providing direct services.
  • Offer informed recommendations to Trust Advisors based on client needs and relevant findings.
  • Assist with front-office duties such as answering the main phone line, distributing mail, and managing incoming faxes.
  • Perform filing, scanning, and document management to support trust and legal compliance.
  • Maintain reliable and consistent attendance while following all scheduling and punctuality standards.
  • Contribute to a positive work environment by collaborating respectfully and effectively with colleagues.

Qualifications

  • Associate's or Bachelor's degree required.
  • Strong interpersonal and communication skills with the ability to build trust while maintaining professional boundaries.
  • Excellent writing, documentation, and problem-solving abilities.
  • High level of comfort working with legal, medical, and financial professionals.
  • Experience in a legal office or working with legal documents is a plus and highly valued.
  • Ability to coordinate services across multiple stakeholders with professionalism and discretion.
  • Highly organized, with strong attention to detail and the ability to prioritize effectively in a fast-paced environment.
  • Demonstrates compassion, patience, and the ability to take direction and integrate feedback.
  • Maintains confidentiality and professionalism when handling sensitive information.

Location: Pasadena, CA
Schedule: Full-Time/ Monday-Friday/ 8:00am-5:00pm Payrate $24-28hr
